Job Summary Reporting to the Director of Institutional Advancement (IA) at the Arnold Arboretum, the Development Database and Operations Manager is responsible for overseeing the strategic and accurate use of Harvard's Ellucian database called Advance and the Arboretum's internal database tool called Vanceda. This includes overseeing gift processing, administration, acknowledgment, and reconciliation while supervising the Advancement team's Development Assistant. The Development Database and Operations Manager will also create a suite of dashboards and fundraising reports to support the team as we pivot to a more data-driven fundraising model. Additionally, the Manager will develop and oversee list and prospect management reports, monitor donor solicitations and stewardship, and regularly report progress to the annual campaign and membership goals, working closely with our Campaign Coordinator. This is a tremendous time to join the Arboretum's Department of Institutional Advancement as we celebrate the organization's 150th anniversary and launch the Sesquicentennial Campaign. Core Duties:
Work at a high level within the Advancement team to understand gift entry process flow and constantly recommend process improvements to ensure timely gift entry and recognition. Oversee all aspects of gift entry. Oversee data tracking needs and ensure appropriate coding is used to enter all donor activities. Collaborate with Advancement team members to translate business needs into systems requirements and work with IT to produce reports and spreadsheets. Consider the business implications of technology applications to the Advancement team's current and future business needs and work with IT to address and create solutions for new needs. Participate in developing database plans and policies for Institutional Advancement. Oversee data tracking needs and ensure appropriate coding is used to enter all donor activities. Job-Specific Responsibilities Arboretum Specific Duties:
Supervises Development Assistant and all data entry tasks, including performing gift entry during high volume periods, vacations, or any time redundancy is required. Reviews current business processes and interfaces with department users to gain a complete understanding of current procedures, identify improvements and ensure integration between business and technology. Extracts and analyzes prospect and donor information to support meeting departmental fundraising goals. Partners with the Director of Institutional Advancement and Advancement team members to develop and produce a suite of fundraising reports and user-friendly dashboards that monitor progress to plan and assist frontline fundraisers with prospect management and stewardship. Conducts ad hoc data analyses on annual, event, and program-based fundraising trends. Serves as direct contact with the IT department on any database scripts required to produce new reports or update existing reports. Partners with the Director of External Relations on all lists and data required for using Salesforce. Partners with the Membership Manager on using data in solicitation efforts, including direct marketing. Works with Campaign Coordinator to provide excellent service in gift administration, donor research, and data and reporting for the Arboretum's Sesquicentennial Campaign. Fosters the Campaign Coordinator's continued development of technical skills and database knowledge. Establishes a system of regular evaluation of existing business processes to recommend new opportunities for efficiencies and effectiveness through process change and incorporation of technology. Works collaboratively with the CDO and University contacts to develop and execute project plans, escalate and resolve issues, manage project budgets and scope, collaborate on training needs, and communicate to project teams, vendors, and key stakeholders. Ensures compliance with Harvard Alumni Affairs and Development's Advancement Technology Support Services and Business Intelligence departments' policies and data requirements. Serves as the Arnold Arboretum's designated Local Product Manager for Ellucian Advance and QlikView systems, collaborating with the Arboretum's IT representative. Oversees the Advancement team's policies and procedures, including data maintenance, staff training, and record-keeping. Serves as the Arboretum's representative to schools and units University-wide regarding alumni and donor data. Participates in university-wide data management workgroups, ensuring the Arboretum's interests are represented in the development of university-wide data management policies. Ensures that the IA team is equipped and trained on current hardware and software technologies necessary for all business operations of the office. Trains new and current staff, proactively when necessary and at their request, on effectively using data management tools to meet business needs. Assists with other projects and duties as assigned. Basic Qualifications Candidates MUST meet the following basic qualifications in order to be considered for this role:
Minimum of four years' post-secondary education. Relevant and progressive work experience, including extensive experience with relational database management systems. Intermediate to advanced MS Office skills:
Word, Excel, Outlook, PowerPoint, Teams. Demonstrated experience creating reports that drive business models forward. Additional Qualifications and Skills Candidates for this position should have a track record of successfully executing major projects. Previous supervisory experience preferred. Previous experience working in fundraising is preferred, especially with a fundraising database, ideally with Harvard's Ellucian Advance, and its internal tools such as QlikView preferred. Flexible working style with the ability to drive consensus among colleagues from different departments. Ability to effectively communicate with technical and non-technical staff. Must have strong written and verbal communication skills with experience documenting complex business processes. Exceptional organizational skills with the ability to prioritize and manage multiple projects. Ability to manage multiple tasks under competing deadlines and shifting priorities. Ability to take the initiative, create, and manage projects required. Demonstrated team approach and communication. Enthusiasm for horticulture or open space is encouraged. Salary Range:
$150K -- $200K
