As a state-authorized Aging Services Access Point (ASAP), Ethos coordinates all the non-institutional home and community-based services for elderly and disabled residents of the southwest Boston neighborhoods of West Roxbury, Hyde Park, Roslindale, Jamaica Plain, and Mattapan and well as, provides city-wide nutrition services in Boston, which serve approximately 2.
1 million meal for older adults, delivered to the home (Meals on Wheels) or served in neighborhood congregate settings (Community Caf s).
The organization also provides Medicare Counseling (SHINE), Long-Term Care Ombudsman, Money Management and Healthy Aging programs for the entire city of Boston.

First impressions are lasting and reflect the entire office.
This position is for a friendly, detail oriented candidate whom possesses a flexible attitude and is comfortable operating in a fast paced environment.
MAJOR
Responsibilities:
The Front Desk Receptionist / Office Assistant will handle incoming calls on Ethos' multi-line switchboard, sort and distribute daily mail to staff and mailboxes as required, screen and gr and greet visitors and assist the Office Manager.
The work schedule is Monday-Friday 9 a.
m.
-5 p.
m.
, Plus 1-2 days per month working until 8 pm for board meeting set and clean up.
DUTIES:
1.
Review and process overnight calls to the switchboard by 9 a.
m.
2.
Receive incoming calls and refer them to appropriate person.
3.
Take accurate messages as needed and process within an appropriate timeframe.
4.
Open incoming mail, distribute to proper mail boxes and distribute to staff as required.
Process daily outgoing mail in time for postal service pick up.
5.
Prepare outgoing bulk mail for pick up; notify appropriate staff and supervisor if mail cannot be processed on the same day.
6.
Notify relevant staff of package deliveries in a timely manner, either by email or telephone.
Ensure that packages are picked up by staff on a timely basis.
Notify Executive Assistant if packages for pick up remain at the front desk for more than two days.
7.
Update as needed and maintain the daily attendance logs.
Notify the Executive Assistant if attendance log is not being utilized according to Ethos' policy.
8.
Process overnight Security Check List.
9.
Observe persons desiring admittance to the Agency through the security cameras or front door, making a determination whether they should be admitted.
Screen and announce visitors.
10.
Train new coverage staff and temps on switchboard coverage and front desk protocols based on Ethos' established policies and procedures.
11.
Maintain postage machine by ensuring sufficient postage and adequate supply of ink cartridges; inform the Office Manager and copy the Executive Assistant when postage or service is required.
12.
Assist the Executive Assistant with light typing, and other tasks as needed.
13.
Inform the Executive Assistant on a timely basis of all concerns or problems related to front desk and parking.
14.
Inform the Office Manager and copy the Executive of concerns related to the copiers, vending machines and lunchroom appliances.
Report all concerns or problems related to office management, including deliveries to Ethos, regardless of how minor it may appear.
15.
Maintain lunchroom and kitchenette duty schedules and send notices to designated staff one week early.
Copy the Executive Assistant and Office Manager.
16.
Observe and report by email or phone, non-compliance with Ethos' parking policy to the Executive Assistant immediately.
17.
Prepare switchboard for after hours or holiday and weekend calls daily.
Qualifications:
1.
The Receptionist/Office Assistant must display an upbeat, caring, thoughtful, mature personality that blends well when communicating with diverse groups including visitors, vendors, staff and upper management.
2.
At least two years of multi-line switchboard experience.
3.
Above average experience with Outlook.
4.
Ability to utilize a computer to conduct Web searches, utilize PDF web forms, Create Excel spread sheets, compose Word correspondences, knowledge to understand, navigate and process search results.
5.
Ability to safely lift up to 20 pounds.
If applicable, designates non-essential position function as required by the Americans with Disabilities Act.
Non-Exempt Hourly :
Equivalent to annual pay range of $40k to $42.
